I recently bought the MiGoals Focus Desk Pad. Migoals is an Australian Stationery brand that helps you take action. I have been trying to delegate more, and I thought that this pad might help encourage this. the Focus Desk pad is designed to be a comprehensive to-do list to help you structure your to-do list each day.

This desk pad has the Eisenhower to-do list matrix on it (as well as space for daily goal and hour of focus). The Eisenhower Matrix is designed to help you prioritise your to do list. The goal of the Eisenhower Matrix is to go through these tasks one by one and separate them by quadrant. Once you can see your tasks in their designated categories, you’ll be able to deal with them accordingly and accomplish your most important work.

The four quadrants are:

  • Do
  • Schedule
  • Delegate
  • Don’t Do

Do:

Quadrant one is the “do” quadrant, and this is where you’ll place any tasks that are both urgent and important. When you see a task on your to-do list that must be done now, has clear consequences or a deadline – it goes into this quadrant. There should be no question about which tasks fall into this quadrant.

Schedule:

Quadrant two is the “schedule” quadrant, and this is where you’ll place any tasks that are not urgent but are still important. They don’t need to be done right away, so you can schedule these tasks for later, but they are still important. It is likely that you will tackle these tasks after you have done the tasks in quadrant one, ideally before they become urgent. 

Delegate:

Quadrant three is the “delegate” quadrant, and this is where you’ll place any tasks that are urgent but not important to you personally or don’t need to be done by you. These tasks must be completed now, but because you don’t have a personal attachment to these tasks and they likely don’t require your specific skill set to complete, you can delegate these tasks to other members of your team.

Don’t Do:

Once you’ve gone through your to-do list and added tasks to the first three quadrants, you’ll notice that a handful of tasks are left over. The tasks left over are tasks that weren’t urgent or important. Therefore you should consider whether you still need to do these tasks at all (i.e. delete/remove from your list completely) or whether they get banked on a someday list to revisit at a later time.
